Case Study: How a Boutique Hotel in the Cyclades Increased Bookings by 45%

Location: Naxos, Greece
Property Type: 22-room boutique hotel
Focus Areas: Sales, reception, OTA strategy.
Result: +45% total bookings in one season.

Too many Cycladic properties rely on August to carry the year. This hotel didn’t want that. Together, we set out to increase early and late-season reservations, improve reception response, and reduce OTA dependence, without adding more technology or unnecessary features.

Here’s how we helped them increase bookings by 45% in one season, with simple yet effective moves.

1. Clean Up the Booking Flow

Goal

Make it easier (and faster) for guests to book directly.

What We Did

  • Reordered photos by guest logic: room → view → bathroom → amenities.
  • Added only three rate types: Flexible, Semi-Flex, and Advance.
  • Improved mobile UX (because 70%+ users were on mobile).

Result

  • +18% direct bookings
  • Fewer pre-booking questions

2. Make OTAs Work For You, Not Against You

Goal

Stop losing margin and visibility to Online Travel Agencies (OTAs).

What We Did

  • Fixed rate parity issues that were undercutting direct rates.
  • Closed OTA promos during high-demand dates.
  • Focused on two key OTAs + metasearch (not six random listings).
  • Customized OTA content by channel.

Result

  • Higher visibility on target dates
  • Better ROI on paid search

3. Reception = Sales Desk

Goal

Turn staff into a mini booking team.

What We Did

  • Response-time targets: under 30 mins for email/chat.
  • Added canned replies for Instagram/WhatsApp DMs.
  • Created a 2-step follow-up script (T+24h and T+72h) for leads that didn’t book.

Result

  • Inquiry-to-booking rate grew from 21% → 34%
  • More bookings from Instagram & WhatsApp

4. Use Compression Pricing

Goal

Capture more revenue when demand spikes.

What We Did

  • Added step-up pricing rules, such as small average daily rates (ADRs) increasing by 70% and 85% at 70% and 85% occupancy levels.
  • Pre-built short-lead offers for 3-day and same-day bookings.

Result

  • More revenue from strong nights
  • More last-minute bookings in May & September

5. Reviews = Free Marketing

Goal

Build trust + boost ranking

What We Did

  • QR code review cards at checkout.
  • The owner responds to every review within 72 hours.
  • Focused service around things that actually get mentioned in reviews (breakfast, cleaning, friendly staff).

Result

  • +0.2 point avg review score
  • Better OTA rankings = more eyeballs = more bookings

6. Sell the Island, Not Just the Room

Goal

Get more off-season guests who want more than the beach.

What We Did

  • Created three guest-friendly day plans (hiking, beach + taverna, family).
  • Linked them in confirmation emails + website.

Result

  • More direct bookings in shoulder months
  • More confident guests → fewer last-minute cancellations
